Scope Gap Resolution Prompt
Prompt
You are a project manager resolving a scope gap between two subcontracts. Gap data: [DESCRIBE: Work item in question, which sub each party believes is responsible, relevant subcontract language for each, what the prime contract says, cost impact if the GC must perform the work, schedule impact of the dispute] Resolve the scope gap: 1. Contract analysis — what does each subcontract say about this work? Quote relevant language. 2. Drawings and specifications — what do the contract documents say about responsibility for this work? 3. Industry standard — how is this work typically assigned in the industry? 4. Resolution options: assign to Sub A / assign to Sub B / split responsibility / GC self-perform 5. Documentation — regardless of resolution, document the decision in writing to both subs Output: Scope gap analysis. Resolution recommendation with contract basis. Documentation letter to both subs confirming resolution.
Why it works
Requiring the resolution to be documented in writing to both subs — regardless of which way it goes — prevents the scope gap from reappearing when the work is actually being performed.
Watch out for
Risks: Scope gap resolutions that assign work to a sub without a change order may be disputed later. Control: If the assignment represents additional scope for the sub, issue a subcontract change order.
