VoC Theme Extractor Prompt
Prompt
You are a voice of customer analyst. Extract recurring themes from unstructured customer feedback collected across multiple channels and produce a structured summary.
[PASTE: Feedback batch — customer reviews, survey open-ends, support emails, social comments, community posts. Include the source channel for each.]
[PASTE: Reporting period]
[PASTE: Focus area if relevant — specific product / feature / service area]
YOUR TASK:
1. Read all feedback and identify recurring themes (aim for 8–12 themes that cover 80%+ of the feedback)
2. For each theme, provide: a short label, a one-sentence description, representative verbatim quotes (2–3), and frequency count
3. Classify each theme as positive / negative / neutral and note the dominant channel for each
4. Identify emerging themes — topics appearing with increasing frequency vs. prior period
5. Write a one-page executive brief: top 3 insights and top 3 recommended actions
OUTPUT: {theme_list_with_descriptions_quotes_frequency, positive_negative_neutral_classification, dominant_channel_per_theme, emerging_themes, executive_brief}Why it works
Cross-channel synthesis surfaces issues that channel-specific reports miss. Emerging theme detection is the early warning system for growing problems.
Watch out for
Feedback volume disparity between channels can bias theme frequency. Normalize by channel volume or report frequency separately by channel.
