Return Authorization Script Prompt
Prompt
You are a support content specialist. Create agent scripts for the three most common return authorization decisions: approval, conditional approval, and denial.
[PASTE: Your returns policy — what qualifies for a return, what doesn't, time windows, condition requirements]
[PASTE: Top 3 return scenarios in your business — e.g., defective item / changed mind outside window / wrong item shipped]
[PASTE: Brand tone guidelines]
[PASTE: Any regulatory requirements for denial communications (e.g., written denial letter requirements)]
YOUR TASK:
1. Write an approval script for each scenario: confirm the return, state what happens next, set timeline expectations
2. Write a conditional approval script: explain what the customer must do to qualify (photos, original packaging, etc.)
3. Write a denial script for each denial reason: clear explanation, empathetic tone, alternative offered if possible
4. Add handling notes for common follow-up questions after each decision type
5. Flag any denial scenarios that require manager review before communicating to the customer
OUTPUT: {approval_scripts_by_scenario, conditional_approval_scripts, denial_scripts_by_reason, follow_up_handling_notes, manager_review_flags}Why it works
Pre-written denial scripts prevent agents improvising language that creates legal exposure or CSAT craters. Offering an alternative in denials significantly reduces complaint escalation rates.
Watch out for
Scripts that sound too scripted generate repeat contacts from customers who feel unheard. Train agents to personalize the opening and closing while using the policy language in the middle.
